Quinton Hill Concierge Services Ltd is a business concierge company registered in Uganda, with offices at Plot 28 Upper Kololo Terrace, Kampala, Uganda. We deliver business registration, travel and immigration support, executive relocation, investment due diligence, concierge services, and private event management.

We are the data controller for personal information collected through our website (quintonhillconcierge.com), enquiry forms, email, and WhatsApp communications.

2. Information We Collect

We collect information you provide directly to us, including:

• Identity information — name, job title, company or organisation name
• Contact information — email address, phone number, physical address
• Enquiry details — the services you are interested in, your message and any supporting context
• Service-specific information — for immigration and relocation services, we may request passport details, travel history, or employment documents as required to deliver the service
• Communications — records of emails, WhatsApp messages, and phone call notes related to your engagement

We do not collect sensitive personal data (such as health or financial account data) unless it is necessary for a specific service you have explicitly engaged us to provide.

3. How We Use Your Information

We use the information we collect to:

• Respond to your enquiries and communicate about your engagement
• Deliver the services described in your service agreement
• Fulfil legal and regulatory obligations (for example, filing requirements with URSB, URA, or Immigration)
• Maintain accurate records of the services provided to you
• Improve our service quality and internal processes
• Send you service updates, invoices, and relevant follow-up communications

• Legal obligation — where we are required by law to process or retain information (e.g. tax records, statutory filings)
• Consent — where you have given explicit consent, which you may withdraw at any time

5. Sharing Your Information

We do not sell, rent, or trade your personal information. We may share your information with:

• Service partners — trusted third parties engaged to help deliver your services (e.g. visa agents, relocation specialists, event suppliers), who are bound by confidentiality agreements
• Regulatory and government bodies — where required by law, or to fulfil statutory filing obligations on your behalf
• Professional advisors — lawyers, accountants, or auditors, under strict confidentiality obligations

Any third party receiving your data is required to handle it with the same level of care and confidentiality we apply.

6. Data Retention

We retain personal information for as long as necessary to deliver the services engaged, and for compliance with legal obligations:

• Active clients — for the duration of the engagement plus seven (7) years, in line with Ugandan statutory record-keeping requirements
• Prospective clients — enquiry data is retained for eighteen (18) months after last contact, then deleted unless an engagement follows
• Statutory records — where a longer retention period is required by law, that period takes precedence

7. Your Rights

Under the Uganda Data Protection and Privacy Act 2019, you have the right to:

• Access — request a copy of the personal information we hold about you
• Rectification — ask us to correct inaccurate or incomplete information
• Erasure — request deletion of your personal data, subject to legal retention obligations
• Restriction — ask us to limit how we use your data in certain circumstances
• Objection — object to processing based on legitimate interests
• Portability — receive your data in a structured, machine-readable format

8. Data Security

No transmission of data over the internet is completely secure. While we take reasonable precautions, we cannot guarantee absolute security of information you transmit to us.

Some of our service partners operate outside Uganda. Where we transfer your personal data internationally, we take steps to ensure adequate protections are in place, including contractual commitments that reflect the standards of the Uganda Data Protection and Privacy Act 2019.
